Rillion offers its customers advanced rule-based automation for matching invoices to purchase orders, delivery notes and contracts, as well as reference matching for non-purchase order invoices. The Challenge

Rillion is committed to pushing the boundaries of automation and cutting the time Account Payable departments spend on supplier invoice management. Reference matching was a primary tool for automating coding and routing of non-PO invoices in Rillion software, prompting Account Payable specialists to create templates per supplier. After templates have been created, incoming non-PO invoices from registered suppliers are automatically matched to the templates, thus saving time managing recurring supplier invoices. Creating invoice coding and routing templates for new suppliers takes up a significant portion of Accounts Payable specialists' time, estimated to be up to five minutes per supplier, and is considered a "tedious administrative task".

According to an Account Payable Specialist at Rillion, approximately 70% of his workload was devoted to creating supplier templates, registering invoices, and routing invoices for approval. As the supplier base expands, the burden of updating the templates and removing obsolete ones increases the workload for the AP departments. As a consequence, software users rely on Rillion’s customer support team to update the templates in the database, further shifting the burden to Rillion.

The Solution

Rillion partnered with Omnimodular to deliver AI automation for coding and routing supplier invoices to Rillion's customers. Omnimodular's white-labeled AI service generates invoice coding and approval routing predictions based on customer historical invoice data. If an initial AI-generated prediction is incorrect, Account Payable specialists make the necessary adjustments, enabling the AI to learn from the corrections to improve future predictions. As a result of integrating AI in Rillion's software, users no longer need to manually create templates for new suppliers and save up to 57% of the time.

The AI implementation required no additional effort from the AP software users and seamlessly integrated into the existing Rillion workflows, allowing for an immediate improvement in efficiency.
